Rental Contract

This agreement and attached “Terms and Conditions”, between name listed above and Tin Roof Hideaway & Event Center (hereinafter “Provider”) provides for the reservation of specified space at the provider’s place of business.

Terms and Conditions General & Rental:


1. A Deposit will be required to secure your date. The deposit amount will be determined by the total cost of the rental.

Weddings $500 (Total Package Price $2,500)

Hourly Rental 4 hours (minimum) $200 (Hourly Rental $100 per Hour)

Graduation Package $450 (Total Package Price $900)


2. Remaining Balance will be due 2 weeks prior to the event. 

 

3. Hall Access hours can be adjusted with prior approval.

 

4. All Rental Checks must be made out to Tin Roof Hideaway and Event Center. Please check with the Manager  you are working with for further directions.(If paying for rental and or catering with a Credit Card there is a 5% Credit Card Processing Fee) 

 

5. A fee of $50.00 will be charged for any returned checks. 


6. A damage deposit is not required, however if any damage is done to the property or items on the property the damage will be assessed at the time of damage and possible damage costs may apply. If damage is done before leaving the property, the damage will be assessed, and you may be asked for a Credit Card to cover the damage. As many events we have held we have never had to do this, this is just in case something would happen. 


7. There is no hanging anything on the walls of the hall. Unless with prior approval. 


8. Decorating and table settings, each table seats 8 people, to determine how many centerpieces you may need, take your total headcount, minus the head table total and divide by 8. This will give you an approximate number of center pieces you will need and how many tables will be set up. 

 

10. The only clean up you are responsible for is getting your decorations and belongings. The Hall takes care of the tables, chairs, and the cleaning of the floors etc. 


11. If this is a Graduation Party, the total hours you have is 4 hours, this would include setup and tear down. Set up will need to be done the day of the event. If you are needing additional time, a charge of $75 per hour. 


Food & Beverage Rules: 


12. Outside caterers who are licensed, and insured are welcome to cater your event. The caterer must be pre-approved by management and must obtain a ServSafe Certification along with a State/County issued Health Department License. Along with this a waiver must be signed releasing the TRH from all liability and responsibility from the Food and Catering. 


13. No outside drinks will be allowed.


14. Wine and or Champagne will be allowed to be brought in, our staff must serve the wine and there is a corking fee of $6 per bottle. 


15. The kitchen has no public use or caterer’s use. 


16. Catering prices include napkins, plates, and silverware. If catering drinks cups will be provided as well. 


17. All liquor, beer, wine, champagne, pop must be supplied, served, and prepared by Tin Roof Hideaway and Event Center. (hereinafter “Provider”). Neither Lessee nor his or her guests may supply any alcoholic beverages. Provider recommends that neither Lessee nor his or her quest remove any food or beverage from the event. However, in the event that this does occur Lessee or his or her guest indemnify and hold harmless provider its agents and or assigns from any liability such as injury, sickness or other problems that occur from the handling or consumption and or disposal of any food or beverage removed from Provider premises.


18. All Linens provided are white; colored is available upon request and for an additional fee (unless otherwise discussed). Linens are for rent if you are needing, we no longer provide linens as a part of our package.  Feel free to provide your own linens as necessary if a specific color cannot be guaranteed. 


19. It is the responsibility of the Lessee to notify the provider of any changes and make any appointments that need to be made prior the event after the contract has been signed by both parties. All changes must be signed and dated by the provider to make them part of the agreement. Providers will accept or deny changes no later than 14 days prior to the event. Any other changes within the 14 days shall be made at the sole discretion of the provider, and may require additional charges as needed. 


20.  The remaining balance of rental is due 14 days or 2 weeks prior to the event. 


21.  1 to 2 weeks before the event you will sit down with the Wedding Manager of the hall and go over a checklist to ensure that everything is in place and the communication is clear to make your day go just as planned. 


22. The guarantee of the number of guests must be received by the provider 7 days prior the event with any additional changes up to 7 days prior the event. Catering fees will be due at this time. 


23. All fees must be paid in full before leaving the hall the day of the event. This includes any bar tabs or added catering meals after the count has been received. Bar tabs depending on the route gone with may not be required to be paid until the end of the event. 


24. Tin Roof Hideaway and Event Center will be relieved of any and all obligations due to acts of God or any other legitimate condition beyond their control these conditions include a wide range of conditions are not limited. Lessee agrees to be responsible for any damage or theft to the premises including but limited to; furniture, fixtures, equipment, tables, chairs and any other property that are caused by Lessee, his or her guests, employees or their third party vendors hired by Lessee. Provider is not responsible for any personal property which Lessees; his or her guests bring on to the premise for the events. Lessee shall hold harmless and indemnify Provider, its agents and its assigns from any and all claims including all attorney’s fees to defend such actions for any injury or property damage resulting from any act or omission by Lessee their guests, employees or third party employees. 


25. Any and all pricing terms are subject to change. All Add Ons of the Package must be decided upon 30 days prior to the event to ensure staffing and supplies are done properly.  


Deposit is due once an invoice is sent for the total deposit amount. Until a deposit is received the date is not guaranteed.


Total Rental is due no later than 2 weeks prior to the event. By signing you are agreeing to all terms and conditions and pricing. Your date cannot be guaranteed unless the full deposit has been paid.
